Beyond Advisory ("we," "us," or "our") operates the website beyondadvisory.ai and provides AI-powered intake automation services for law firms. This policy explains how we collect, use, and protect information.

Information We Collect

We collect information in the following ways:

• Booking information: When you schedule a consultation through Calendly, we receive your name, email address, and any details you provide in the booking form.
• Email correspondence: When you email us at jeremy@beyondadvisory.ai, we retain the contents of your messages.
• Analytics data: We use Google Analytics 4 to collect anonymous usage data including pages visited, time on site, device type, and general geographic location. This data is aggregated and cannot identify you personally.
• Call data (for law firm clients): When our AI voice receptionist handles inbound calls on behalf of a law firm client, we collect caller name, phone number, and details related to the legal inquiry including case type, date of incident, injuries described, and medical treatment information.
• Call recordings and transcripts: Inbound calls handled by our AI receptionist are recorded and transcribed for quality assurance and to provide intake summaries to the law firm. Callers are notified of recording at the start of each call.

HIPAA Compliance

Our AI intake services may involve the collection of protected health information (PHI) as defined by the Health Insurance Portability and Accountability Act (HIPAA). We take the following measures:

• Our voice AI platform operates under a signed Business Associate Agreement (BAA).
• Call recordings and transcripts are encrypted at rest and in transit.
• PHI is stored in a secured database with restricted access controls. Only authorized service-level processes can access raw transcripts containing medical information.
• Non-PHI data (name, phone number, case type, qualification status) is synced to the law firm's CRM system. Medical details are not transmitted to the CRM.
• We do not sell, share, or use PHI for marketing purposes.

How We Use Your Information

• To provide AI intake services to our law firm clients
• To improve our website and services based on usage patterns
• To communicate with you about our services if you've contacted us

Third-Party Services

We use the following third-party services that may process data:

• Google Analytics 4: Collects anonymous website usage data. Google's Privacy Policy
• Calendly: Processes booking information. Calendly's Privacy Policy
• Google Fonts: Serves web fonts. No personal data is collected.
• Retell AI: Provides AI voice agent technology for call handling. Operates under a BAA for HIPAA compliance.
• Twilio: Provides telephony services for call routing and SMS. Operates under a BAA for HIPAA compliance.
• Supabase: Provides database services for secure data storage. Data is encrypted at rest.

Call Recording Disclosure

All calls handled by our AI voice receptionist are recorded. Callers are informed of recording at the start of each call in compliance with applicable state and federal laws, including two-party consent states. Recordings are retained for the duration of the business relationship with the law firm client and are deleted upon request or termination of services.

Cookies

Our website uses cookies from Google Analytics to understand how visitors interact with our site. You can disable cookies in your browser settings at any time.

Data Retention

We retain booking and contact information for the duration of our business relationship. Analytics data is retained for 14 months as per Google Analytics default settings. Call recordings and transcripts are retained for the duration of the law firm client relationship unless earlier deletion is requested.

Your Rights

You have the right to:

• Request access to the personal data we hold about you
• Request correction or deletion of your personal data
• Opt out of analytics tracking by using browser privacy settings
• Request deletion of call recordings in which you are a participant
